Expense categories in ProcessX are designed to match SARS deduction categories, making tax time simpler and ensuring you claim all eligible deductions.

Using Categories Effectively

Choosing the Right Category

When adding an expense:

  • Consider what the expense is for
  • Select the most specific category that applies
  • If unsure, check the category descriptions
  • Use "Other" only when no category fits
  • Consistency is Key

    • Always use the same category for similar expenses
    • Review your choices periodically for consistency
    • Consistent categorization improves report accuracy

    Category Reports

    View expenses grouped by category:

  • Go to Reports
  • Select Expense Summary or Deduction Summary
  • See totals by category
  • Identify your largest expense areas
  • Best Practices

    Do's

    • Be specific: Use "Office Supplies" not just "Supplies"
    • Review monthly: Check categories during month-end review
    • Train your team: Ensure team members categorize consistently
    • Use descriptions: Add details in the description field

    Don'ts

    • Don't over-categorize: Stick to standard categories
    • Don't mix personal and business: Only categorize business expenses
    • Don't guess: If unsure, ask your accountant

    Home Office Expenses

    If you work from home, some expenses can be partially deducted:

    • Calculate based on floor area used for business
    • Or use the simplified method (prescribed rate per hour)
    • Keep records of the calculation method used

    Applicable categories:

    • Utilities (proportional)
    • Rent/Bond interest (proportional)
    • Internet (proportional)
    • Office supplies (full business use)

    Non-Deductible Expenses

    Some expenses are NOT tax deductible:

    • Personal expenses
    • Fines and penalties
    • Entertainment (personal)
    • Capital repayments on loans
    • Donations (handled separately)

    Avoid categorizing these as business expenses.
